The short version
→What you share in coaching stays confidential unless the law requires otherwise, someone is at serious risk, or you give written consent.
→We collect only what we need to book, deliver and invoice your coaching.
→We never sell your information. Trusted tools (booking, video, payments) process it on our behalf, some of them overseas.
→You can ask to see, correct or delete your information at any time, and unsubscribe from emails in one click.
01
Who we are
Strategy Within is a coaching practice operated by Jeremiah Akladious [trading entity and ABN to be added], based in Sydney, New South Wales, and delivering coaching online. In this policy, "we", "us" and "our" mean Strategy Within.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and in keeping with the International Coaching Federation (ICF) Code of Ethics. Even where a small-business exemption might apply, we choose to meet these standards.
02
Information we collect
Depending on how you interact with us, we may collect:
Contact details: your name, email address, phone number (including country code), city or state, and business or role.
Booking details: the session type, date and time you choose, and anything you tell us when booking or applying.
Application and business profile: when you apply for a program, cohort, workshop or the Elite CEO Partnership, details such as your industry, years in business, team size, annual revenue range, your role, your goals, your preferred start date and how you heard about us.
Business information in deeper engagements: in the Intensive, VIP Strategy Day and Elite CEO Partnership, we may review financial, operational, systems and team information about your business as part of an audit or strategy review.
Coaching records: session notes, goals, reflections and agreements created during our work together.
Payment information: invoices and payment status. Card details are handled by our payment provider and never stored by us.
Website information: basic usage data such as pages visited, device and browser type, collected through cookies and analytics.
Communications: emails, messages and voice notes you send us.
03
Sensitive information
Coaching conversations can touch on personal matters such as your beliefs, faith, health or relationships. Under the Privacy Act these are "sensitive information".
You decide what you share. We only collect and record sensitive information with your consent, only when it's relevant to your coaching, and we never use it for marketing.
04
Business and third-party information
Business information you share for an audit, systems review or strategy review is treated as confidential in the same way as what you share in sessions. It is used only to deliver your engagement and is returned or securely deleted at the end of it on request. We are happy to sign a mutual confidentiality agreement before an Elite CEO Partnership or VIP Strategy Day begins.
If you share information about other people, such as employees, partners or customers, please share only what is needed and only where you are entitled to. We will use it only for your coaching and will not contact those people without your agreement.
05
How we collect it
Mostly directly from you, when you book a call, apply for a program, attend sessions, email us or visit this website. If an organisation sponsors your coaching, we may receive your contact details from them; what you say in sessions is still not shared back without your agreement.
06
Why we use it
We use your information to:
arrange and confirm sessions, and send confirmations and reminders;
deliver your CLARITY Session, program, cohort or workshop;
invoice and process payments;
keep records required for professional supervision and ICF credentialing (de-identified wherever possible);
send occasional insights and program news, if you have opted in;
improve this website and our services; and
meet our legal obligations.
07
Coaching confidentiality
Confidentiality belongs to you, the client. We will not disclose anything shared in or around our coaching relationship without your express permission, except where there is a legal requirement, a serious threat of harm to you or others, or you have given written consent.
Where a third party sponsors your coaching, what they can and cannot be told is agreed with you in writing before we begin. In group cohorts, every participant agrees to keep what others share confidential.
Professional supervision is a normal part of ethical coaching. Anything discussed in supervision is de-identified.
08
Who we share it with
We never sell, rent or trade your personal information. We share it only with service providers that help us run the practice, and only as much as they need:
Scheduling: YouCanBook.me, for booking sessions.
Automation: Make, to route website form submissions and deliver your Founder Gap Score results and follow-up emails.
Client relationship management: HubSpot, to keep a record of your enquiry, application and our contact with you.
Video sessions: Zoom or Google Meet.
Payments and accounting: Stripe and Xero (or equivalent).
Email, messaging and client records: our email provider, WhatsApp (for voice-note check-ins you opt into) and a secure client-management system.
Website and analytics: our website host and analytics provider.
09
Information stored overseas
Some of these providers store or process data outside Australia, including in the United States, the United Kingdom and the European Union. Before using a provider, we take reasonable steps to make sure it protects personal information to a standard comparable to the Australian Privacy Principles.
10
Session recordings
We do not record coaching sessions unless you agree in advance. Any recording is used only for your own reflection or, with your separate consent, for de-identified credentialing assessment, and is deleted once that purpose is complete.
11
Automated decisions and AI tools
The Founder Gap Score is calculated automatically from your answers. It is a self-assessment that gives you a snapshot, not a decision about you, and it does not affect whether we will work with you or on what terms.
We do not use computer programs or artificial intelligence to make decisions that significantly affect your rights or interests, for example, whether you can access coaching. Those decisions are always made by Jeremiah, in conversation with you.
We will not put what you share in coaching into AI tools (such as transcription or note-taking assistants) without your explicit consent. If this changes, we will update this policy before it takes effect.
12
Marketing emails
We'll only send you marketing emails if you've opted in or have an existing relationship with us, in line with the Spam Act 2003 (Cth). Every email includes a one-click unsubscribe, and we action requests within five business days.
13
Cookies and analytics
This website uses essential cookies to function and analytics cookies to understand, in aggregate, how visitors use it. You can block or delete cookies in your browser settings; the site will still work, although some features such as the embedded booking calendar may not.
14
Security and retention
We store information in reputable, access-controlled systems with multi-factor authentication, keep coaching notes in encrypted storage, and limit access to Jeremiah and anyone bound by the same confidentiality obligations.
We keep coaching records for as long as needed to provide our services and meet legal and professional obligations, generally up to seven years after our engagement ends, and then securely destroy or de-identify them. You can ask us to delete your records earlier, subject to any legal requirements.
15
Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it, at any time. We will respond within 30 days and will not charge you to make a request. If we cannot give you access, we will explain why in writing.
16
Data breaches
If a data breach is likely to cause you serious harm, we will notify you and, where required, the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme, and tell you what we are doing about it.
17
Complaints
If you have a concern about how we have handled your information, please contact us first. We will acknowledge your complaint within five business days and aim to resolve it within 30 days.
If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. Concerns about coaching ethics can also be raised with the International Coaching Federation.
18
Changes to this policy
We may update this policy as our practice, tools or the law change. The latest version will always be on this page with its date. If a change significantly affects how we use your information, we'll let current clients know directly.
